Document Manager instructions What are key features of Document Manager? - sharing of files using www interface - tracking of changes to files - security (using encryption while contacting web server and user identification) Screen is visually divided in four parts: 1. Display of directories Which are listed under DIRECTORY NAME in alphabetical order 2. Display of documents on server Which are also listed alphabetically 3. short instructions about check-in/check-out procedures and 4. Grey area which can be used to create new directory or empty file, or to upload document from PC to server Basic operations are: * sending of file to server (by choosing UPLOAD link on bottom area) and retrieving of file for viewing (by clicking of filename). - send file to server: Choose upload button to get to screen which is used to upload documents to server. Press BROWSE and select file from file requester which will be displayed on screen. After that press UPLOAD and you will be returned to previous screen, but it will now display newly uploaded file. If you wish to abort sending of file to server choose CANCEL. - retrieve file from server: simply click on filename. File will be downloaded to disk or opened in application depending on file type. However, after changing of file that file WILL NOT be updated on server automatically. - updating copy of file on server To update file on server (and enable other users to see changes in file) you will have to: 1. save file locally to disk (check-out file from server) -- that is achieved using check-out icon which is right from filename) 2. once you checkout-ed file, icon will change to finger to warn you that you have to return new copy of that file to server. 3. edit file locally on computer and save it to local disk 4. send it to server again (using link on filename or icon on the right of filename) You can also upload file under different name if you want to keep old copy for some reason. However, for evolving files, system will keep last five copies of files automatically. - adding note to each file (which will describe file better than filename alone) Additional operations available are: * Detailed informations about file (which can be showed by clicking on icon which is displayed left from filename). - filename - file size - date and time of last modification and access - document contents (which you can edit) -- only if document type is plain text. If file is Word Document of some other binary format you will have to edit it on your local computer and upload changed file back to server. If the document is picture, if will be shown. - removing lock on file -- this option is fail-safe only. It's not planned that users will remove locks manually. Locks are used when one user check-out file to edit it. Other users can't view or edit same file until that user return updated copy (check-in) to server. However, it's possible that some users will check-out file by mistake (instead of just viewing it), so this option can be used to unlock file again. - deleting of file (by choosing of a check-box located left from button DELETE and pressing DELETE) - renaming of file (by changing of name, choosing of check-box and pressing of RENAME) - changes to file with dates, time and user which made the change For last five uploads, you will be able to retrieve old version of documents from this list also.
